1. Who we are

2. What this tool is

An internal tool used by our own sales staff to answer messages and comments that customers send to our Facebook Page, Instagram account and WhatsApp business number. It is not offered to third parties.

3. What data we process

• The content of messages and comments customers send us
• Public profile name and profile picture of the sender, as provided by Meta
• The phone number, for WhatsApp conversations
• Timestamps and the channel the message came from

4. Why we process it

To answer customer questions about our products, prices, delivery and warranty, and to keep a record of the conversation for order handling. Legal basis: legitimate interest and steps taken at the request of the person before entering into a contract (GDPR Art. 6(1)(b) and (f)).

5. Automated processing and AI

To help our staff answer faster and more accurately, message content is sent to Anthropic (Claude API) which generates suggested reply drafts. Suggestions are shown only to our staff. A human employee reviews every reply and decides what is sent. We do not use this data to train AI models.

6. Who we share data with

Anthropic PBC (AI suggestion generation) and our hosting provider. We do not sell personal data and do not share it for advertising.

7. How long we keep it

Conversations are kept for 24 months from the last message, then deleted.

8. Your rights

You may request access, correction, deletion, restriction, or portability of your data, and object to processing. Write to kontakt@norvextools.eu. You may also lodge a complaint with the Polish supervisory authority (UODO).
